Gardeners Elmstead is committed to providing gardening and grounds maintenance services in a manner that safeguards the health, safety and wellbeing of our employees, clients, visitors, contractors and members of the public. We recognise our duty to manage risks effectively and to promote a positive health and safety culture in every outdoor space where we work.
Policy Aims and Objectives
The aim of this Health and Safety Policy is to prevent injury, ill health and damage to property or the environment arising from our work activities. Our objectives are to identify hazards, assess risks, implement effective control measures and continually improve our safety performance across all gardening operations.
This policy applies to all Gardeners Elmstead staff, whether permanent, temporary or subcontracted, and covers all services including regular garden maintenance, planting, lawn care, hedge cutting, tree work within our competence, soft landscaping and related support activities.
Management Responsibilities
Senior management at Gardeners Elmstead has the overall responsibility for ensuring that suitable arrangements are in place to protect health and safety. This includes providing appropriate resources, equipment, information, instruction, training and supervision to enable work to be carried out safely.
Managers and supervisors are responsible for implementing this policy on a day to day basis. They must ensure that risk assessments and method statements are completed, that control measures are followed, that equipment is maintained in safe condition and that any incidents, near misses or hazards are reported and investigated promptly.
Employee Responsibilities
All employees have a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions or omissions. Staff must follow all safety instructions, use tools and equipment correctly, wear the required personal protective equipment and cooperate fully with company procedures.
Employees are expected to report unsafe conditions, defective equipment, accidents, near misses and any health concerns related to work activities. Gardeners Elmstead will not tolerate deliberate misuse of equipment, refusal to follow safety procedures or behaviour that puts others at risk.
Risk Assessment and Safe Working Practices
Before starting work at any site, hazards will be assessed and appropriate control measures put in place. Typical hazards in gardening work include uneven ground, sharp tools, powered machinery, exposure to noise and vibration, contact with plants and chemicals, manual handling, work at height and changing weather conditions.
Safe systems of work will be developed and communicated to staff. This may include designated work areas, exclusion zones, equipment checks, use of guards and safety devices, safe distances when using powered equipment, and clear arrangements for stopping work if conditions become unsafe.
Tools, Machinery and Equipment
Gardeners Elmstead will provide suitable and properly maintained tools and machinery for all tasks. All equipment will be selected for its safety performance and fitness for purpose. Plant and machinery will be inspected regularly and maintained in accordance with manufacturer guidance and relevant regulations.
Only trained and authorised personnel may operate powered equipment such as mowers, trimmers, hedge cutters, blowers and chainsaws within the limits of their competence. Guards, safety switches and other protective devices must never be removed or bypassed. Defective or damaged equipment must be taken out of use immediately and reported.
Personal Protective Equipment
Appropriate personal protective equipment will be provided where risks cannot be adequately controlled by other means. Depending on the task, this may include safety boots, gloves, eye protection, hearing protection, high visibility clothing, respiratory protection and weather appropriate workwear.
Employees are required to wear the PPE specified for each task, ensure that it is used correctly, kept clean, stored properly and reported for replacement if damaged or worn.
Manual Handling and Musculoskeletal Health
Gardening work often involves lifting, carrying, pushing and pulling loads. Gardeners Elmstead will seek to avoid hazardous manual handling where reasonably practicable, for example through the use of mechanical aids, trolleys and team handling.
Staff will receive guidance on safe lifting techniques and are expected to assess the weight and stability of any load before moving it. Employees must not attempt to lift items that are too heavy or awkward and should request assistance when needed.
Chemicals, Substances and Environmental Hazards
Where the use of chemicals such as fertilisers, soil conditioners or approved treatments is necessary, Gardeners Elmstead will follow safe handling procedures. Relevant safety data will be available and only trained personnel will use such products in accordance with manufacturer instructions and applicable guidelines.
Exposure to dust, soil, plant sap, thorns, pests and other natural hazards will be controlled through risk assessment, hygiene measures, PPE and sensible work practices. Staff are encouraged to wash hands before eating or drinking and to report any adverse reactions promptly.
Work at Height and Tree Related Tasks
Work at height, including use of ladders and access equipment for hedge cutting or pruning, will be planned and carried out in a safe manner. Only competent staff may undertake work at height, using suitable equipment and following agreed methods.
Tree work will be limited to tasks within the competence, training and equipment of Gardeners Elmstead staff. Higher risk tree operations that fall outside our capability will be referred to specialist contractors.
Traffic, Public Safety and Client Premises
When working in gardens, shared spaces or near roads and driveways, the safety of the public and clients is a priority. Work areas will be organised to minimise risks from moving vehicles, tools and machinery, with barriers or warning signs used where appropriate.
Care will be taken when moving vehicles and machinery on and off sites. Staff must remain vigilant for pedestrians, children and animals, and must never leave running machinery unattended.
Incident Reporting and Emergency Arrangements
All accidents, injuries, near misses and dangerous occurrences must be reported as soon as practicable to a supervisor or manager. Gardeners Elmstead will investigate incidents to identify causes and implement corrective actions.
First aid provisions will be available and staff will be informed of emergency procedures for each site, including how to summon assistance. In the event of severe weather or other conditions that make work unsafe, operations will be suspended or adjusted.
Training, Consultation and Continuous Improvement
Gardeners Elmstead will provide appropriate induction, role specific and refresher training to ensure that employees are competent to carry out their duties safely. This includes training on equipment use, manual handling, hazard awareness and emergency procedures.
We encourage open communication on health and safety matters. Employees will be consulted on changes that affect their safety and are invited to contribute suggestions for improvement. Lessons learned from incidents, audits and inspections will be used to strengthen our systems.
Monitoring, Review and Policy Availability
Compliance with this Health and Safety Policy will be monitored through regular site checks, equipment inspections and review of incident records. Where shortcomings are identified, appropriate corrective actions will be taken.
This policy will be reviewed periodically, and whenever there are significant changes to our operations, legal requirements or best practice. The latest version of the Health and Safety Policy is available to all employees and can be provided to clients on request.
